AFRICAN ADVENTURE SPECIALISTS BOOKING TERMS & CONDITIONS
1. Reservations
All reservations must be made in writing and as far in advance as possible.
Groups / FITs:
- A non-refundable deposit of 30% of the total tour cost is required to confirm a booking made more than 30 days before departure.
- Full payment is required if booking is made within 30 days of departure.
- Balance of payment must be received no later than 8 weeks prior to departure or as specified on the invoice.
2. Cancellations
All cancellations must be submitted in writing and are effective upon receipt at the offices of African Adventure Specialists.
Cancellations by clients: Charges are based on the full package cost and will apply as follows. African Adventure Specialists reserves the right to charge a cancellation fee of up to 100% of the total package value.
Group Tours:
- More than 45 days before departure: 40%
- 45 – 29 days before departure: 50%
- 30 – 15 days before departure: 60%
- Less than 15 days before departure: 100%
FITs:
- Less than 35 days before departure: 40%
- Less than 21 days before departure: 50%
- Less than 14 days before departure: 75%
- Less than 7 days before departure: 100%
African Adventure Specialists shall not be liable for any losses resulting from cancellations or amendments. Each case will be reviewed at the company’s discretion. Please note that our suppliers have individual policies which may affect cancellation or amendment charges. Clients are liable for all related costs arising from such changes.
Cancellations by African Adventure Specialists: In the event of force majeure (war, civil unrest, terrorism, natural disasters, pandemics, adverse weather, technical transport issues, etc.), African Adventure Specialists reserves the right to cancel or alter itineraries without liability. Adequate travel insurance is highly recommended.
3. Tour Prices
Tour prices are quoted in USD unless otherwise stated and are based on prevailing exchange rates and supplier rates. Prices may be adjusted without notice in the event of changes in VAT, fuel prices, exchange rates, or government taxes. Final pricing is determined at the time of full payment. Bank charges are to be borne by the sender.
4. Refunds
No refunds shall be given for unused services, no-shows, or tour alterations due to force majeure or client decisions. African Adventure Specialists endeavors to operate tours as scheduled but reserves the right to amend itineraries for the safety or benefit of clients. Any additional costs will be the client’s responsibility.
5. Travel Insurance
All travelers are strongly advised to obtain comprehensive travel insurance covering medical expenses, trip cancellation, baggage, and personal accident. Insurance can be arranged locally upon request if not available in the client’s country of origin.
6. Luggage and Personal Effects
Luggage is carried at the owner’s risk. Each client is limited to one standard suitcase (max. 20 kg) and one piece of hand luggage. For charter flights, soft bags (max. 12 kg) may be required. African Adventure Specialists is not liable for any loss or damage to personal items.
7. Visas, Health, Passports & Travel Documents
Clients are responsible for securing valid passports (valid for 6 months beyond return), visas, vaccination certificates, and any other required travel documents. African Adventure Specialists recommends consulting a travel clinic or physician for current health requirements including malaria prophylaxis.
8. Single Accommodation
Single rooms are subject to availability and incur an additional charge. African Adventure Specialists will do its best to meet specific requests.
9. Shared Accommodation (Group Tours)
Where possible, African Adventure Specialists will arrange shared accommodation as requested. However, we reserve the right to modify arrangements in the best interest of the group.
10. Responsibility & Indemnity
African Adventure Specialists acts only as an agent for hotels, transport companies, and other service providers. We are not liable for injury, delays, losses, or damages caused by third-party suppliers or circumstances beyond our control.
Itineraries are subject to change without notice. African Adventure Specialists reserves the right to cancel or terminate a client’s participation due to illness or behavior incompatible with group harmony, with no refund.
11. Wildlife & Safety
Tours often involve visits to wilderness areas and national parks. Guests must follow all safety instructions. African Adventure Specialists is not liable for injuries or incidents involving wildlife.
12. Payment & Confirmation
Final payment is due 8 weeks prior to departure or as stated on the invoice. Bookings made within 30 days of departure require full payment upon confirmation. Documentation will be provided on arrival or via email prior to travel.
13. Special Requests
All special dietary, medical, or accommodation requests must be made in writing at least 30 days in advance. While every effort will be made to meet these, they cannot be guaranteed.
14. Transportation
Departure schedules are provided by carriers and are subject to delays due to weather or traffic. African Adventure Specialists accepts no responsibility for such disruptions. Transport is typically provided in air-conditioned vehicles or as requested.
15. Financial Security
African Adventure Specialists is a registered and compliant tour operator, operating under the laws of the Republic of Kenya. We maintain good standing with relevant tourism regulatory authorities.
16. Guides
We work with certified and multilingual guides. Requests for specific language guides will be honored based on availability.
17. Legal Jurisdiction
All contracts and disputes are governed by the laws of the Republic of Kenya. Jurisdiction shall lie exclusively with the courts of Nairobi.
